Why Transfer Outlook Notes to OneNote?
Microsoft Outlook notes have served as a quick way to jot down thoughts, but OneNote offers a far more robust, feature-rich environment for organization. OneNote supports rich media, deep search capabilities, and cross-device synchronization. Because Microsoft has transitioned its primary note-taking focus to OneNote, many users want to migrate their legacy Outlook notes. Although there is no native, single-click button to batch-export all Outlook notes to OneNote in Windows 11, several highly effective workarounds can accomplish this task.
Method 1: Using the OneNote Virtual Printer
For users who want to preserve the exact layout of their notes, including any embedded images or screenshots, the OneNote virtual printer is an excellent solution. Windows 11 systems with the OneNote desktop application installed include this virtual printer by default.
- Open the Microsoft Outlook application on Windows 11.
- Navigate to the Notes folder and open the specific note that needs to be transferred.
- Press Ctrl + P on the keyboard to open the Print dialog menu.
- Under the printer selection dropdown, choose OneNote (Desktop) or OneNote Desktop (Protected).
- Click Print.
- A OneNote dialog box will appear. Select the specific notebook and section where the note should be saved, then click OK.
Note: This method imports the note as an image. While OneNote can search the text within these images using Optical Character Recognition (OCR), the text will not be immediately editable unless it is manually extracted.
Method 2: The Direct Copy-and-Paste Approach
When the priority is keeping the text fully editable and searchable without relying on OCR, the manual copy-and-paste method remains the most reliable option for smaller volumes of notes.
- Open Outlook and access the Notes section.
- Double-click to open the desired note.
- Press Ctrl + A to select all content, then Ctrl + C to copy it.
- Launch OneNote and navigate to the target notebook page.
- Click on the page and press Ctrl + V to paste the content.
Method 3: Utilizing the Send to OneNote Ribbon Feature
In some versions of Microsoft 365 and Outlook Desktop, a dedicated integration button exists directly within the user interface.
- Open the Outlook application and select the note.
- Look at the Home tab on the top ribbon.
- Locate the OneNote or Send to OneNote icon.
- Click the icon and select the destination notebook and section in the pop-up pane.
- If this button is not visible, the feature may need to be enabled via Outlook Add-ins, or the system may require the manual copy-paste or virtual printer workarounds.
Method 4: Bulk Exporting for Large Volumes of Notes
For users with dozens or hundreds of notes, individual transfers are inefficient. A bulk export process can streamline the transition.
- In Outlook, navigate to File and select Open & Export.
- Click on Import/Export to launch the wizard.
- Select Export to a file and click Next.
- Choose Comma Separated Values (CSV) and click Next.
- Select the Notes folder from the folder hierarchy and proceed.
- Save the CSV file to a convenient location on the Windows 11 PC.
- Once exported, the CSV file can be opened in Excel, allowing the content to be organized before importing or copying the consolidated data into OneNote.

Understanding the structural differences between these two tools helps in deciding the best migration path. Outlook notes are simple, plain-text entries tied directly to an email account. OneNote, on the other hand, utilizes a digital binder structure composed of notebooks, sections, and pages. Transitioning to OneNote provides access to drawing tools, audio recording, tag systems, and seamless collaboration features that are completely absent in the legacy Outlook Notes tool.
